FAQ

Generally 10+ rooms at a single property is where a stay starts being categorized as a group hotel booking — it comes with its own contract and negotiated terms, which we take over from there. That's our usual minimum, though we've helped smaller teams of 6-8 book hotel rooms too. Most of our requests come in at 50+ rooms, and we're comfortable handling any room block size — including multi-property blocks for multiple teams spread across a destination, like a group all converging on the same conference.

No — if a room block is all you need, it's free: we handle sourcing, negotiation, and contracting, and once the contract is signed and deposit or payment terms are clear, that's where we step out. Want more support — onsite help, F&B, transport, activities? That comes at an added cost depending on what you need, which we'll walk through on an intro call after you submit a group request. Yes — we run the full sourcing process and RFPs on your behalf, then put every viable option in front of you. Our goal is to make the decision as easy and clear as possible, not add another layer of research to your plate.

MICE stands for Meetings, Incentives, Conferences & Events — a business-focused segment of group travel. Meetings cover internal offsites, strategic planning, and sales meetings; incentives reward top performers or clients with curated trips; conferences are industry-wide gatherings with networking or training components; and events span product launches, trade shows, and corporate celebrations. We handle the same room block negotiation, contracting, and onsite support across all of it, the same as we do for retreats and weddings.

It varies by group type. Corporate retreats & incentive trips are usually planned 12-18 months out — budgets get locked in early, though approvals can move fast once they do (Web3 and AI companies especially tend to move much quicker). Weddings typically need 9-12 months, longer for international destinations, since the room block has to be secured before save-the-dates go out. Social and affinity groups vary widely — sometimes 6 months, sometimes just 3. Whatever your timeline, reach out — we've made much shorter turnarounds work before. It just comes with fewer property choices and less room to negotiate, and we'll always be upfront with you about that tradeoff.

Group hotel contracts can feel overwhelming — that's exactly why we're here. We negotiate attrition clauses and deposit schedules on your behalf, and we're often put in direct touch with your legal team to work through final points and get everyone aligned. We have real experience being connected with the right stakeholders inside a company to carry the process all the way from first draft to signature.

Yes — though a lot can also be handled remotely. We're used to handing off smoothly to your team leads or EAs for whatever needs to happen in person. For very large groups, or when it makes sense, we'll step in onsite ourselves — that comes at an added cost, which we'd scope with you in advance.

Yes — for larger groups or bigger-budget bookings, we'll travel to your top 3 shortlisted venues and inspect them ourselves before you commit. This comes at an added fee, and we recommend it whenever the stakes are high enough that we want zero blind spots in the process.
